Every resume example is written and reviewed by our team of Certified Professional Resume Writers to ensure top-quality content and formatting.

Recruiters open folder after folder of accounting assistant resumes for one open seat, and the stack rarely thins on its own. Firms keep hiring as finance teams expand, so your real challenge is standing out, not finding a posting.

Your resume usually clears an ATS keyword parse, then a recruiter screen, then a sit-down with the accounting manager. Not every employer runs that exact funnel, but the proof they want is consistent. They look for reconciliations you owned, AP/AR volume, journal entries, and systems like QuickBooks, NetSuite, SAP, or Xero, plus Excel pivot tables and VLOOKUP.

We reviewed thousands of accounting assistant postings and studied resumes that landed offers. Whether you're targeting an AP clerk, AR specialist, or staff accounting support role, the examples below run from entry level to experienced. They show you how to prove close-ready accuracy on one page.

Hiring accounting managers want to see the ERP, the transaction volume, and the close cycle on the first page, because that tells them in 20 seconds whether you can sit at the AP desk on day one.

Why this resume works

  • Caught a costly billing error: The $18,400 freight recovery shows the candidate doesn’t just process invoices, she audits patterns and saves the company real money.
  • Specific software named: Listing NetSuite, Yardi, and Concur by name (not ‘various ERPs’) lets a recruiter match this resume to job posts that require those exact systems.
  • CPA progress is dated: Showing which CPA sections passed and when signals real momentum toward a Staff Accountant role, not vague ‘pursuing certification’ language.

Entry Level Example

Entry-level accounting assistants are coming from an associate degree, a bookkeeping certificate, or a first AP or AR role. The resume needs to prove you can run a full transaction cycle in QuickBooks or a similar ERP without hand-holding.

Why this resume works

  • Real numbers from an internship: Even as a new grad, the resume quantifies invoice volume (90/week) and a time savings of 8 hours, which is much stronger than ‘assisted with AP duties.’
  • Nonprofit work counts as experience: Treating volunteer bookkeeping as a real job, with a budget figure and reconciliation tasks, fills the experience section without padding.
  • Certification near the top: QuickBooks ProAdvisor is exactly what small-firm hiring managers scan for, so it earns a bold lead-in instead of being buried.

Experienced Example

Experienced accounting assistants own pieces of the month-end close and supervise the AP or AR inbox. The resume needs to prove reconciliation accuracy, ERP fluency across two or more systems, and the volume of transactions you process each month.

Why this resume works

  • Cycle time cut almost in half: Moving invoice-to-pay from 17 days to 9 is the kind of process win that signals a senior clerk, not a button-pusher.
  • Career path makes sense: Clerk to Specialist to Assistant II to Senior shows steady promotion, which controllers read as low-risk hiring.
  • Mentoring is called out: Naming the two coordinators she reviews positions her as someone who can absorb work from an overloaded supervisor.

How to Write an Accounting Assistant Resume

01 Open with the one tool stack a job board can't see

Lead the summary with the ERP and adjacent tools you’ve actually used in production. Not “proficient in accounting software,” but “QuickBooks Online and NetSuite, plus Bill.com for AP and Ramp for expense.”

Pair the stack with one specialty signal: three-way match on POs, multi-entity intercompany coding, sales-tax filings across five states, or 1099 prep for 200-plus vendors.

Accounting managers and senior accountants use that one line to decide whether to keep reading. It separates you from the generic associate-degree applicant who lists “Microsoft Office” and stops.

02 Quantify the cycle work you actually own

Most strong accounting assistant resumes name three metrics: transaction volume, dollar value, and turnaround time.

Examples that work: “Processed 480 vendor invoices monthly across two entities,” or “Reconciled 14 bank accounts totaling $6.2M monthly with a two-day close turnaround.”

If you can’t pull exact counts, use defensible ranges. “300 to 400 invoices monthly” beats “high-volume AP” because senior accountants can size your desk against theirs.

03 Group bullets by accounting function

Cluster your work into four buckets a controller recognizes: accounts payable, accounts receivable, reconciliations and journal entries, and month-end close support.

Under AP, name three-way matching, GL coding, payment runs, and vendor setup. Under AR, name invoicing, cash application, collections calls, and aging reports.

Reconciliation bullets should name the accounts (operating cash, payroll, credit card, intercompany) and the cadence. Close-support bullets should name the journal entry types you prepare and which schedules you tie out.

04 Place credentials and software in a page-one block

Build a “Software and Credentials” block right under the summary. List ERPs first (QuickBooks, NetSuite, Sage, SAP, Oracle), then payment and expense tools (Bill.com, Ramp, Concur), then Excel proficiency (pivot tables, VLOOKUP, SUMIFS).

Add coursework or certifications below: QuickBooks ProAdvisor, Certified Bookkeeper (AIPB), or progress toward the CPA exam if applicable.

Accounting managers filter by tool fit before they read bullets. Burying NetSuite in a 2019 job description costs you the screen.

05 Close with education and a targeted skills tail

List your degree, school, and graduation year. If you have an associate in accounting or a bachelor’s in finance, name relevant coursework.

Add a short skills section below education with six to eight ATS terms drawn from the target posting. Match the exact phrasing the recruiter used.

If you’re transitioning from retail cashiering, bank teller work, or admin roles, surface the cash-handling volume, reconciliation duties, or ledger work from those jobs in the experience section.

Most Popular Skills on Accounting Assistant Resumes for 2026

The skills below come from accounting assistant resumes our users built on ResumeTemplates.com. Accounting managers and senior accountants scan dozens of resumes a week, and these are the skills that show up most often. Hard skills get you through the ATS filter and the first read.

Soft skills like attention to detail only carry weight when a bullet backs them up with a reconciliation or audit example. Match the list below against your target posting, then mirror the exact terms the recruiter uses.

Soft and hard skills by share of resumes

Soft Skills % of resumes with this skill
Attention to detail 79%
Communication 66%
Time management 48%
Problem-solving 36%
Organization 35%

And here are the top hard skills showing up most often.

Hard Skills % of resumes with this skill
Accounts payable and receivable 80%
Account reconciliation 52%
QuickBooks proficiency 47%
Data entry 37%
Microsoft Excel 30%

Based on data from thousands of accounting assistants’ resumes built on ResumeTemplates.com, May 2026.

Must Have on an Accounting Assistant Resume

The accounting work you do day to day decides what belongs below.

Niche Keywords for ATS Checkers

Accounting managers and senior accountants expect the niche section to mirror the exact function you’d own on day one. Pick the row that matches the posting and weave those terms into your summary and bullets.

Niche Keywords ATS scans for
Accounts payable focus accounts payable specialist, three-way match, vendor reconciliation, 1099 preparation
Accounts receivable focus accounts receivable clerk, cash application, collections, AR aging reports
Bookkeeping and small business quickbooks online, full-charge bookkeeping, bank reconciliation, sales tax filing
Senior accounts assistant month-end close, journal entries, intercompany reconciliation, GL coding
ERP and mid-market netsuite, sage intacct, sap, oracle financials

AI Skills to Add

Accounting teams are split between controllers piloting AI coding tools in NetSuite and Bill.com, and firms that ban generative tools because of client data sensitivity. Name the tools you’ve used, describe the workflow honestly, and don’t claim AI ownership of work you still review line by line.

What AI is actually changing for this role
Invoice coding

Bill.com and Ramp now suggest GL codes from vendor history; you confirm or override and post the entry.

Expense reports

Concur and Ramp auto-categorize receipts; your review focuses on policy compliance and miscoded personal charges.

Reconciliations

ERP-native matching tools flag exceptions on bank and credit card recs, leaving you the judgment calls on uncleared items.

Variance commentary

Copilot in Excel drafts month-over-month variance language from pivot tables you then fact-check against the GL.

AI tools to name

  • Bill.com with AI invoice capture: Extracts vendor, amount, and GL code from emailed invoices for your review and posting.

  • Microsoft Copilot in Excel: Drafts formulas, pivot summaries, and variance commentary from reconciliation and aging data.

How to phrase AI on your resume
Do
  • Used Bill.com AI capture to process 420 monthly vendor invoices, reviewing GL codes and posting to NetSuite within a two-day cycle
  • Built Excel Copilot prompts to generate AR aging summaries, cutting weekly report prep from 90 minutes to 20
Skip
  • Leveraged AI to revolutionize the accounts payable function
  • AI-powered reconciliation expert driving next-generation finance transformation

CPA Track and Financial Credentials for Accounting Assistants

If you’re using an accounting assistant role as a step toward staff accountant, the resume should show where you stand on the CPA path. That signal moves you out of the clerk pile and into the early-career pipeline.

  • CPA exam progress: list the core sections passed (AUD, FAR, REG) and your discipline section (BAR, ISC, or TCP) with the date passed

  • Credit-hour status: "135 of 150 credit hours completed, on track for [month/year]" tells senior accountants when you'll qualify to sit

  • State board: name the state where you plan to license; do not list your candidate ID or any board-issued number

  • Relevant coursework: intermediate accounting I and II, auditing, federal taxation, and accounting information systems

  • Memberships: student or affiliate membership in AICPA or your state CPA society

Accounting Credentials That Get You the Job

Accounting managers and senior accountants read the certifications list as a map of where your work is heading. The list below tells them which track you’ve invested in: bookkeeping fundamentals, a specific ERP, or progress toward the CPA. List the issuing body and completion year next to each one. If payroll is part of your track, see our payroll specialist resume examples.

  • QuickBooks ProAdvisor Certification (Intuit): Signals you can set up a chart of accounts and run the full AP and AR cycle in the most common small-business ERP.

  • NetSuite Administrator or SuiteFoundation (Oracle): Moves you into mid-market and SaaS company candidate pools where NetSuite is the standard ERP.

  • Certified Bookkeeper (AIPB): Validates adjusting entries, payroll, depreciation, and internal controls knowledge, useful when you don't have a four-year accounting degree.

  • Certified Bookkeeping Professional (NACPB): Covers payroll, QuickBooks, and tax fundamentals, recognized by small CPA firms hiring assistants to support multiple client books.

Latest BLS Statistics for Accounting Assistants

The 90th-percentile accounting assistant out-earns the median by a meaningful margin, which tells you the market rewards ERP breadth and close-cycle ownership more than years on an AP desk.

The top-paying states cluster around financial-services hubs and high cost-of-living metros, while the highest-employment states track general business density. Lead the resume with the ERPs you’ve owned end-to-end and the close work you support, not your year count.

Frequently Asked Questions

What's the best resume format for an accounting assistant?

Use reverse-chronological with a short summary, a software and credentials block, experience by employer, then education.

One page if you have under 10 years of experience. Two pages if you supervise others or carry CPA-track coursework.

Skip functional formats. Accounting managers want continuous AP or AR experience without gaps.

Should I list my CPA exam progress if I haven't passed all sections?

Yes.

Naming passed sections signals you're on the staff accountant track.

Skip sections you've only registered for. List credit hours toward the 150-hour requirement instead.

How do I write an accounting assistant resume with no experience?

Lead with your degree or coursework, then a software block naming QuickBooks, Excel, and any ERP you used in class.

Pull bullets from internships, work-study in the bursar's office, cashiering, or volunteer treasurer roles. Anything that touched ledgers or cash counts.

Add a QuickBooks ProAdvisor certification or AIPB bookkeeping credential to fill the credentials block.

What's the difference between an accounting assistant resume and a bookkeeper resume?

Accounting assistant resumes emphasize support work inside a finance team: AP and AR processing, reconciliation prep, and journal entry support.

Bookkeeper resumes emphasize end-to-end ownership of a small business's books, including monthly financials, payroll, and tax-ready reports.

If you apply to both, build two versions. The ERP and software list usually stays the same.

What resume template should an accounting assistant use?

A professional template presents an accounting assistant's software list and workload. An ATS-friendly template is a good fit for accounting assistant resumes.
